Impact Justice dares to dream of humane and restorative systems of justice in the United States. Through innovation, research, policy, and advocacy, we are forging new pathways to justice that are fair to all of us. Specifically, we work to reduce the number of people entangled in harmful legal systems, improve living conditions and life outcomes for people who are currently incarcerated, and create opportunities for formerly incarcerated people to fully rejoin communities and reach their potential. Established in 2015, IJ currently has a staff of 85 and an $18M budget.

Who You Are

You haven’t met a problem you can’t solve, and you love diving in and figuring out options for how to make things better. You get excited about organization, details, and the behind-the-scenes logistics that enable the magic. You can juggle multiple balls without stuff dropping, maximize efficiency without sacrificing quality, and are great at planning and projecting how much time and energy your various tasks and assignments will take. You can anticipate problems or decision-points and elevate those rather than waiting to be told or asked, and you aren’t comfortable letting even small errors slide. You’re comfortable working with multiple different leaders on various projects and are at ease being flexible and adaptable. You have a customer-service orientation, naturally empathize with colleagues to understand and anticipate where there are things you can address in order to minimize frustration, and don’t tend to get impatient or flustered easily.

What You Will Do 

The anticipated start date for this position is August 2022. You will report to the Vice President (VP) of Operations. You’ll support administrative function across the organization and in our Oakland office, and your core responsibilities will be:

  1. Oakland Office Administration You will own making sure the Oakland office space is functional. This means ensuring all systems are working effectively (mail, internet, phones, audio/visual, etc.), and that staff have the supplies they need when they need them (eliminating preventable delays and minimizing unplannable ones). This also includes handling physical mail (and then scanning and routing that mail). You will be a regular presence onsite to welcome daily visitors, liaise with external vendors and property management, and to handle administrative tasks for smooth office function. You will also support the launch of our new building/offices this Summer and Fall. 
  2. Organization Wide Operations Support – You will work under the guidance of the HR and Operations Associate to facilitate organization wide systems, processes and tools.This involves making sure that staff first joining the team have what they need to be successful and hit the ground running – including technology (hardware and software), supporting an effective organizational onboarding process, and managing organization-wide licenses for systems/technology suites (such as Zoom and Asana). You will support event planning and logistics as events resume, handling tasks such as calendar coordination, vendor research, production of materials, preparation of agendas, and following up on action items. You will also support our ongoing shift to a hybrid workplace including the implementation of COVID-19 protocols.
  3. Executive Assistance – You will provide executive assistance to the VPs in our DreamBuilders department, consisting of Operations, Finance, People (Human Resources), and Communications. This will include scheduling, taking notes in meetings or interviews, filing documents and recordkeeping, and other special projects.
  4. DreamBuilders Project Support – You will serve as a team member on various organizational initiatives, ranging from the transition to an organizational wide cloud storage protocol, identification of tools to help us track contracts, implementation of an applicant tracking system, or planning an organization-wide retreat.

The starting salary for this position is $55,000. The benefits that come with working at Impact Justice include medical, dental, and FSA plans, significant vacation and wellness leave, and immediate vesting in our 401K with a generous match. This is a full-time, salaried position. This candidate must be in our Oakland, California office, and will be required to be onsite 5 days per week. We are not considering remote staff for this position.
