Who You Are

You can juggle multiple balls without stuff dropping, maximize efficiency without sacrificing quality, and are great at planning. You can anticipate problems or decision-points and elevate those rather than waiting to be told or asked, and you aren’t comfortable letting even small errors slide. You’re comfortable working with multiple different leaders on various projects and are at ease being flexible and adaptable. You have a customer-service orientation, naturally empathize with colleagues to understand and anticipate where there are things you can, and don’t tend to get impatient or flustered easily.

What You Will Do 

The anticipated start date for this position is in January 2023. You’ll support administrative function across the organization and in our Washington, DC office, and your core responsibilities will be:

  1. DC Office Administration and Organization-Wide Operations Support You will be responsible for making sure the DC office space is functional. This means ensuring all systems are working effectively (mail, internet, phones, audio/visual, etc.), and that staff have the supplies they need when they need them (eliminating preventable delays and minimizing unplannable ones). You will be a regular presence onsite to welcome daily visitors, liaise with external vendors, and handle administrative tasks for smooth office function. You will plan and coordinate onsite events and DC office staff gatherings. You will also support our ongoing shift to a hybrid workplace including the implementation of COVID-19 protocols. Working closely with the Oakland operations staff, you’ll also support the function of organization-wide systems, processes, and tools – such as ensuring new DC staff have the equipment and licenses they need during onboarding, or supporting a new technology system implementation. (Estimated to be 50%)
  2. Program Directors Support – You will provide administrative assistance to program directors in the DC office leading the Restorative Justice Project and the Prison Rape Elimination Act (PREA) Resource Center, and to other leadership as necessary. This may include managing calendars, arranging for travel, drafting communications, preparing and producing online or written materials, supporting expense processing, record keeping, administering department or program processes (e.g., processing training candidate applications), assisting with event planning logistics, preparing agendas, taking notes, and following up on action items. (Estimated to be 25%)
  3. Program-Specific Admin and Data Management Support – You will support program teams as needed, rotating through periods of assigned team support. To start, you’ll assist the PREA Resource Center team with their Strategic Planning and Analysis efforts, which includes assessing the alignment of program activities with the goals of each individual program and overall goals of the PRC. These activities help the team to plan and operationalize training development, delivery, and engagement. Specifically, you will inventory existing data sources, clean and organize data into a usable format in Google sheets, conduct basic descriptive analyses (including producing descriptive statistics and reports/graphs summarizing results), assist with the development of data collection tools and templates, and support the development of ongoing data management procedures. (Estimated to be 25%)

Qualifications

  • High school graduate/GED and three years of either educational or work experience which has developed strong writing, organization, and communication skills. Ideal candidates will have a demonstrated work history with progressive responsibility in tasks related to the job functions and some familiarity with the criminal justice system. 
  • Organization skills: the successful candidate must be highly organized and have excellent attention to detail and thoroughness in completing tasks and the capacity to monitor and check work to ensure accuracy; as well as the ability to complete a variety of tasks in a timely and efficient manner, managing multiple priorities to meet deadlines.
  • Communication skills: the successful candidate will have the ability to communicate verbally and in writing in a clear, concise, and well-organized manner.
  • Strong computer skills and internet literacy: the successful candidate will have an aptitude for learning new technologies and/or computer systems.
  • Proficiency in Google docs and Office Suite (e.g. Word, Excel, etc.)

Preferred but not required

  • Familiarity with conducting basic descriptive statistics and graphs using Google Sheets or Excel.
  • Experience with data management including cleaning and organizing data into usable formats.

The starting salary for this position is $50,000. The benefits that come with working at Impact Justice include medical, dental, and FSA plans, significant vacation and wellness leave, and immediate vesting in our 401K with a generous match. This is a full-time, non-exempt, salaried position. This candidate must be in our Washington, DC office, and will be regularly required to be onsite 5 days per week, with periodic deviations approved by your direct supervisor. We are not considering remote staff for this position.
